Challenge

Facility HIM departments manage and control access and are the ultimate gatekeeper of patient records. Our client desired to minimize costs related to the ROI process while also maintaining an audit history. The process is also used for generating invoices based on number of pages, postage prices, etc.

Release of Information

Softheon ROI portal geared to the patient, provider, and the payer as well as through requests submitted via scanned or faxed hard copy documents. ROI requests include Patient Name and identification information such as Payer Member ID, Facility Medical Record or Encounter number, Physician Name and NPI, Dates of Service, and Requestor information and Address.

Softheon, in conjunction with the provider storing the record, sets up access rules regarding access to a patient's medical record. In addition, the patient, through the Softheon Portal, alters, adds or revokes access rights to individual parties. As a member or authorized representative, this means monitoring a patient's record from home without having to contact the facility.

At each stage of the ROI process, Softheon ensures protection of medical record information and the maintenance of confidentiality and privacy. Electronic medical records are easier to manage than paper charts; strict adherence to HIPAA privacy and security requirements is maintained in Softheon?s base product and implemented according to required business rules and roles. Putting records into Softheon is easily done by many different types of methods including scanning, file and fax imports, electronically, etc.

Incomplete charts now are easily sent to the physicians electronically to complete for submission. This allows a real-time interaction between the HIM personnel and the rest of the organization.
